- This is a remote position – your work can be done from any location where you have a quiet place to work, a reliable computer, Internet access and telephone service.
- The position offers flexible work hours. Tasks may have particular deadlines or windows within work needs to be completed, but the specific hours of work are flexible. Initially, we will be hiring on the basis of 20 hours of work/week. Upon mutual agreement, the position may expand to as many as 40 hours of work/week.
Position Overview:
We are seeking a highly organized and creative Executive Assistant to support the owner of our fast-growing travel agency. The ideal candidate will possess excellent communication skills, exceptional attention to detail, and the ability to handle a dynamic workflow. As the Executive Assistant, you will play a critical role in screening the owner from distracting communications, coordinating business activities, and ensuring seamless operations within the agency.
Responsibilities:
- Communication: Assist in screening the owner from communications distractions, demonstrating professionalism and responding to inquiries on behalf of the owner.
- Business Coordination: Assist in coordinating and preparing for business meetings, conferences, and presentations, including compiling necessary materials and conducting research as needed.
- Documentation: Prepare, review, and edit documents, presentations, and reports to ensure accuracy and adherence to the agency’s standards.
- Project Assistance: Collaborate on special projects, initiatives, and events, contributing to their successful execution and completion.
- Client & Supplier Relations: Serve as an initial point of contact for Clients and Suppliers, collecting and dispensing information as needed.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain a high level of confidentiality at all times.
- Problem Solving: Proactively identify and address operational challenges, suggesting solutions to improve efficiency and effectiveness.
- Ad Hoc Support: Provide additional support to the owner as required, adapting to changing priorities and demonstrating flexibility in tasks and responsibilities.

Preferred Qualifications:
- Experience as an executive assistant, preferably in the travel or hospitality industry.
- Excellent written and verbal communication skills.
- Proficiency with office productivity software and the ability to adapt to the use of software other than Microsoft Office products.
- Ability to work with online tools such as WordPress, CRM systems, and other online information-management tools.
- Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
- Discretion and professionalism in handling confidential information.
- Attention to detail and a commitment to producing high-quality work.
- Flexibility to adapt to evolving business needs and deadlines.
- A proactive and resourceful mindset with the ability to anticipate needs and take initiative.
- Strong problem-solving skills and the ability to remain composed under pressure.
- Knowledge of the travel industry and its trends is a plus.
Compensation
This is a contract position. Starting pay is $20 per hour for 20 hours per week, paid on a weekly basis. By mutual agreement, the position could grow to as much as 40 hours per week.
